Position OverviewSuccessful candidates will have experience in an office setting. Position assists the business owners, management team, and other team members with a variety of tasks including processing invoices, collecting payments, customer service follow up, answering phones, using multiple types of software, and interfacing with customers & suppliers. Experience with Microsoft Office are a must. Prefer strong writing, commuincating, and problem-solving skills. Job Responsibilities

  • Customer relations
    • Responsible for the intake of new incoming job information, ensuring a positive first impression experience
    • Obtain available information from customer or insurance company upon initial call
    • Enter customer information into customer relationship and job management system
    • Data mangement
      • Audit organizing/data collecting
      • Data entry, job tracking, and upkeep of Restore 365, Quickbooks, and paper files
      • Office administration
        • Place orders to replenish consumables
        • Complete test requests as needed
        • Assist with employee celebrations
        • Oversee, manage, and send DocuSign contracts
        • Accounts receivable/Accounts payable
          • Enter payables in Quickbooks and sync to each job
          • Monthly bills
          • Managing receipts of charges
          • Writing checks
          • Monthly royalties
          • Financial transactions
            • Billing customers & subcontractors
            • Invoicing & collections
              • Creating estimates/invoices
              • Follow up to ensure timely payments of receivablesSchedule:
                • 8:00 AM to 4:30 PM
                • Monday to Friday
                • Weekend availabilityJob Requirements
                  • High school diploma/GED required
                  • Experience and skill with Microsoft© Office application (Word, Outlook, PowerPoint, and Excel) required
                  • Experience in QuickBooks, Xactimate, Restore 365 preferred but not required
                  • Experience with insurance claims but not required
                  • Verbal and written communication skills
                  • Dependable and adaptable to operate within a fast-paced work environment
